Embarkation Day: From Check-In to Your First Night
Embarkation on Virgin is quick when you've done a little prep. Here's the whole day, start to finish.
Before you go
Complete online check-in in the Sailor App — it typically opens about 45 days before your sailing, and you'll work through every step: security photo, travel documents, payment method, the works. Once you're "Ready to Sail," the app shows the final step: choosing your Terminal Arrival Time, the boarding window for your whole cabin. Slots are free and first-come, first-served, so the Sailors who finish check-in early get the best choice of times.
In the ~24 hours before sailing, complete the health check and save your boarding pass to your phone's wallet.
Picking your Terminal Arrival Time (on purpose, not by default)
One thing to understand up front: your arrival time is not your boarding time. Boarding generally begins around 2:15 pm, with slots running through the afternoon in short 15–30 minute windows — and arriving before your slot won't get you aboard sooner (it may just mean waiting outside).
That's also why the earliest window isn't automatically the best one. The first slot is when everyone else wants to board, so it's the longest terminal line of the day — and cabins usually aren't ready right at boarding, while The Galley is at its most crowded during the first-hour lunch rush.
Our take: a mid-afternoon slot often walks nearly straight onto the ship — shorter line, cabin ready sooner, and you've missed the crush. The ship doesn't sail until early evening, so a 3 pm boarding still leaves hours to explore before the evening festivities even begin. If you're set on boarding first anyway, complete check-in the day it opens.
A few practical notes:
Changing your slot: go back into the app and reselect — any time before sailing, as long as another window is open. Earlier slots reopen when other Sailors change plans, so if you're stuck with a late one, check back every day or two.
Running late: arriving a bit after your window is generally fine — staff work you into the flow — but don't cut it close. Virgin sails on time, and the muster requirement means you need to be aboard comfortably before departure. Flying in that morning? Virgin suggests landing no later than 2 pm — though honestly, arrive the night before.
Arriving early: many ports accept luggage drop-off earlier in the day, so you can hand off bags and go grab lunch before your window.
If you have status or a suite, arrival times matter a lot less. RockStar and Mega RockStar Suites get prioritized slots, a dedicated check-in lane, and (in Miami) the RockStar lounge entrance — arrival is effectively flexible. Deep Blue Extras members can use Priority Check-In and arrive at the start of boarding, and the Splash of Romance package includes a priority boarding line too.
At the terminal
There are usually three check-in lines: General Boarding (by arrival time), Priority (Deep Blue Extras or Splash of Romance), and RockStar Suites & VIPs. Bring a physical credit card for check-in. You'll get your wristband — the Band — which is your cabin key and onboard payment: standard bands are red, RockStar/VIP bands are black.
Carry-on & what you can bring
Screening is lighter than an airport, but your carry-on still passes an X-ray. Pack day-one essentials — medications, swimsuit, documents — plus up to two unopened bottles of wine per cabin. Checked bags arrive at your cabin later in the day.
Your first hour aboard
Drop your carry-on — cabins are typically ready when you board.
Grab lunch (The Galley and a few spots are open and quieter than you'd expect on day one).
Firm up any dining you missed at the embarkation-day booking desk.
